Meeting Efficiency

January 2023

Productivity and efficiency are key, but efficiency comes in many forms.

Have you ever wondered, or kept track of, how many hours you and the team lose each month to unnecessary or unproductive meetings? It can be alarming.

Look back at your calendar for the past 2-weeks. How many of those meetings were truly required? Now, add to that, how many minutes from the required meetings were truly productive minutes? How many hours did you lose? How many extra hours did you have to work because of those unproductive meetings?

Challenge the norm – stress accountability. Change the culture – it starts at the top.

Stop the Bleeding

  1. Less Meetings
  2. Reduce the Length of Meetings

Less Meetings

Less meetings increases autonomy, communication, engagement and productivity, and decreases employee stress.

Stop the “update” meetings.

Reduce the Length of Meetings

If you can’t eliminate a meeting, book it for 40 or 35 minutes, instead of 60 minutes … then try to continue reducing the length of these meetings. People will love the extra 20 – 25 minutes you created in their calendars. Next, instead of 30 minutes, start with a 20-minute meeting, and challenge the team to get it down to 15-minute meetings.

If you reduce and eliminate some meetings, it increases communication, engagement and productivity, reduces employee stress and improves your team’s mental health.

Successful Strategies

  1. Send an agenda in advance
  2. Assign pre-work
  3. Arrive early
  4. Make it fun and addictive
  5. Measure the savings
  6. Celebrate the success together
